Job Description

We are seeking a highly organized and proactive Executive Assistant to support the owner of a dynamic supermarket business. The ideal candidate will act as the owner's right-hand person, managing administrative tasks, streamlining operations, and ensuring the smooth functioning of daily activities. This role requires exceptional multitasking skills, discretion, and the ability to thrive in a fast-paced environment.

Key Responsibilities:

• Manage the owner's calendar, schedule meetings, and coordinate appointments.
• Handle correspondence, including emails and phone calls, on behalf of the owner promptly and professionally.
• Prepare reports, presentations, and other documents as needed.
• Organize and maintain records, files, and confidential information.
• Coordinate travel arrangements, including booking flights, accommodations, and itineraries.
• Assist with planning and executing events, promotions, or special projects.
• Coordinate and prioritize multiple projects simultaneously.
• Liaise with store managers, suppliers, and other stakeholders to ensure effective communication.
• Conduct research and provide insights to support decision-making.
• Anticipate needs and proactively handle issues before they arise.
• Coordinate meetings, take minutes and follow up on action items.
• Perform other administrative and personal tasks as assigned.

Qualifications:

• Proven experience as an Executive Assistant or in a similar role.
• Exceptional organization and time management skills with the ability to multitask efficiently.
• Strong problem-solving abilities and a proactive approach to challenges.
• Excellent communication and interpersonal skills, with the ability to interact professionally at all levels.
• Proficiency in Microsoft Office Suite and other relevant software.
• Ability to work independently and handle highly confidential information with discretion.
• Detail-oriented with a focus on accuracy in reporting and document preparation.
• A proactive attitude and problem-solving mindset.
• Ability to work full time, on-site in Plainview, NY and occasionally travel to other store locations.
