Job Description

Job Title:

Administrative Assistant (Medical Team)

Duties & Responsibilities:

  • Assist Medical Department Manager with various needs, including:
  • Data tracking for new cases, complaint-filed dates, and updates from litigation teams for unfiled matters;
  • Preview weekly timesheets and help maintain calendar;
  • Preparation for new recruits;
  • Travel expense reports;
  • Various need-based projects.
  • Assist Medical Team with various needs, including:
  • Log, scan, and distribute mail as received from various avenues (e.g. Mail Team, online data portals, electronic fax, etc.);
  • Pay invoices and build weekly credit card expense reports ;
  • Organize and execute orders for team lunches, with associated preparation of conference rooms;
  • Filing;
  • Manage access to various office supplies.

Skills & Competencies:

  • Microsoft 365 and Adobe Acrobat, with intermediate ability to learn and utilize various other programs;
  • Transparent communication and adaptability;
  • Organizational skills and ability to multi-task;

  • Eagerness to learn new skills;
  • Situational awareness.
